The Position

Responsible for providing clerical, administrative & process support to assist the Director and/or Department Leadership Team in: document controlling, scheduling, meeting logistics, travel coordination, presentation development, department level KPI tracking, curating performance boards, taking meeting notes, tracking expense reporting, updating the department sharepoint page(s), and other ad hoc tasks. The Administrative Assistant will be expected to proactively plan offsite team events, onsite catering, arrange travel domestic and international travel, and proactively scheduling recurring departmental meetings and support the calendar for a dedicated senior leader. 

 

This is an onsite based role Monday-Friday at our West Lebanon, NH bioproduction facility.

 

Relationships

Reports to: Director on Site Leadership Team

 

Essential Functions

  • Provide administrative support to the Department Leadership Team including but not limited to preparing agendas and minutes, and managing their calendars
  • Reconcile expenses and ensure expense reports are completed in a timely manner
  • Plan off site events, workshops, team buildings events, parties and holiday gatherings etc. for the department
  • Work with external food vendor to ensure catering is provided for events where applicable
  • Assist in managing the department’s SharePoint page
  • Actively participate in peer-to-peer mentorship with other Administrative Assistants
  • Support with production documentation creation & distribution where applicable
  • Manage administrative projects to ensure they are completed properly and in a timely manner
  • Lead Good Housekeeping in administrative areas
  • Prepare board meetings and various presentations on behalf of the department, and lead the preparation of management and department meetings
  • Attend admin meetings and cross functional tasks and collaboration
  • Handle inquiries and requests from internal and external parties in a professional and timely manner
  • Oversee office supplies, equipment, and facilities to ensure day-to-day operations run efficiently, while continuously improving processes using cLEAN tools
  • Follow all safety & environmental requirements in the performance of duties
  • Other duties as assigned
  • Perform all job duties and responsibilities in a compliant and ethical manner and in accordance with all applicable SOPs, corporate standards, cGMP’s, local, state and federal laws/regulations
  • Incorporates the Novo Nordisk Way and Code of Conduct values in all activities and interactions

 

Qualifications

  • High School Diploma or equivalent required
  • Associate's Degree in Business, Office Administration, or relevant field of study from an accredited university preferred
  • Minimum of three (3) years of experience as an Administrative Assistant or Production Coordinator required
  • Ability to read, write, and understand complicated production & GMP documentation a plus
  • Demonstrated proficiency in Microsoft applications (Word, Excel, Access, PowerPoint, Outlook, etc.) required
  • Written & verbal communication skills to allow interaction will all levels of operations & management preferred
  • Ability to organize GMP related documentation with exceptional attention to detail a plus
  • Demonstrated ability to anticipate project needs to ensure all required assistance, support systems, & documentation is available preferred

 

Physical Requirements

Ability to work in an open office environment with the possibility of frequent distraction. Ability to travel up to 10% of the time. (% can change on a case-by-case basis based on the role.)
