HRVP Assistant

Key areas of responsibility 主要工作职责:

Responsible for enhancing & implementing effectiveness by providing high-level support to the APAC RSC teams, and this role is also responsible for mobility tasks and process. Additionally, the whole area/unit budget and process are monitored.

 

 

Main Job Tasks 主要工作任务:      

Administrative/Project Support:

 

  • Owns calendar & schedule management, anticipates needs & effectively manages executive’s time; while meeting the needs of the customer & working across global time-zones.
  • Plan, design, & execute virtual & moderate to large scale meetings/off-sites.
  • Create, design, &/or edit presentations for meetings & events.
  • Plan all internal meetings & events for the department; manage the agenda, logistics, presentations, coordinate output & actions, catering & off-site dinners.
  • Prepare & submit expense reports on-behalf of management in compliance with NN policies.
  • Monitor budgets for department by reconciling relevant expenses; contribute accurate information & projections for annual budgeting process.
  • Manage & coordinate complex travel arrangements & itineraries while ensuring flights, accommodations, ground &/or rental transportation are reserved.
  • Exercises excellent communication skills to represent the department; creates a routine newsletter to ensure departmental employees & high-level stakeholders/customers are well informed of statuses & activities.
  • Performs a wide range of administrative duties highly confidential in nature.
  • Data collection, analysis, trend reporting on KPI (infor…) or other activities, as assigned.
  • Support the project team with project tasks as needed.
  • Manage &/or track key deadlines & their associated statuses.
  • Partner & collaborate closely with global colleagues.

    Mobility:

    Mobility buddies

  • Prepare pre-visit program and arrange the local city tour.
  • Introduce and handle on-boarding process of new expats.
  • Plan and execute repatriation.
  • Deals with all kinds of details from families’ queries to household arrangements
  • Ensure Legislation process are planed & executed successfully.

  • Carry out legislation process (visa, work permit, etc.) according to NN working standard procedure. Report to Mobility manager or GMS when issue arise and suggest solutions.
  • Arrange and accompany with expatriate and family through police interview and physical exam conformation, and other relocation related process is needed.
  • Register newly arrived mobility assignees and family within 24 hours at local police office;
  • Conduct the legislation extension process timely. Prepare document and attain visa, work permit, resident permit for mobility assignees.
  • Good communication with mobility assignee and local authorities to ensure smooth legislation process and no overdue occurs.
  • Manage mobility vendors, ensure service quality and compliance with NNWay

  • Manage relocation agents to process accommodation selection and ensure the preparation of selected accommodation are completed on time, according to NN policy and standards.
  • Collaborate with and manage related external institutions (International schools, Clinics, Language training school, etc). Review relation and services of related external institutions and provide evaluations.
  • Conduct local moving process according to NN procedure, collaborate with EAC assignee, moving vender to ensure a smooth moving process. Timely carry out related legislation changes.
  • Negotiate and manage all kinds of contracts and payments.
  • Ensure Expat related expense control
  • Cooperate with Finance/Admin department and LoB to governance all kinds of expat related expense.
  • Raise any issues or potential risk to Mobility manager and LoB.
  • Additional duties, as needed.

Education Background: 教育背景

Bachelor’s degree in a related field or combination of equivalent experience.

Good communication skills in Chinese and English.

 

 

Professional Experience专业经验:

5+ years in administrative or HR related experience, preferably in a pharmaceutical environment.

Min 2 years experience in expats service or related work

Excellent English capability both in speaking and writing
