SVP Personal Assistant
Søborg, Capital Region of Denmark, DK
Job Title: SVP Personal Assistant
Department: Global Regulatory & R&D Quality (GRQ)
Location: Soeborg, Denmark
Your impact begins here
As SVP Personal Assistant, you will keep the leadership of Global Regulatory & R&D Quality (GRQ) prepared, aligned and moving. You will run the rhythm of the SVP’s work, from meetings and offsites to annual processes and budget coordination, and lead the assistant community that supports the area. Your judgement and discretion free up time for the decisions that matter, so GRQ colleagues can move work forward with clarity and pace.
What you’ll bring
- A BA in business languages or equivalent, with a focus on English.
- 6-7 years of management administrative experience, including experience as a team coordinator and as a member of a management team.
- Fluent written and spoken English, and experience from an international business environment.
- Project management skills and experience working in a project-oriented, international matrix organisation.
- Proficiency in Microsoft Word and a good command of the Microsoft Office package, with experience of digital and AI productivity tools such as Microsoft 365 Copilot.
- Knowledge of quality management systems, clinical development and basic medical terminology.
- Sound judgement, a high degree of discretion and strong ethical awareness when handling confidential information.
- A proactive, pragmatic and flexible approach, with strong interpersonal skills and the ability to navigate many stakeholders in a diverse, multicultural setting.
Useful, but not essential:
Experience of supporting re-organisations, onboarding of senior managers or large-scale events.
What you’ll do
You will be the SVP’s trusted partner and gatekeeper, and the person who connects the GRQ leadership team, the wider area and the assistants who support them.
- Prepare the SVP for what matters: manage the calendar, travel and pre-reads, and act on the SVP’s behalf with discretion.
- Plan and drive meetings, offsites and events for the SVP and the management team, and help plan and carry out re-organisations.
- Lead cross-functional projects and processes in the SVP area, and coordinate onboarding for new senior managers.
- Coordinate annual People & Organisation processes with your P&O partner, and manage the GRQ Line of Business budget with your finance partner.
- Lead the assistant community in GRQ: set the meeting structure, share best practice, mentor colleagues, take part in recruiting new assistants and keep improving how the team works, including through AI and digital tools.
- Make sure legal documents, such as Powers of Attorney, are signed on time, and keep the SVP area website up to date.
Who you’ll work with
You will report to the SVP of GRQ and work every day with the SVP’s Executive Assistant. Without a formal reporting line, you will lead and coordinate the GRQ leadership team PA group of four PAs and the five Area Coordinators, and you will also take part in the R&D leadership team PA group.
Your wider network includes the GRQ leadership team and all RQ&C leaders, and your communication, P&O and finance partners. Outside Novo, you will work with external experts, boards, consultancies, agencies and vendors. The role spans cultures and colleagues from different parts of the world, and the way of working is not always spelled out. We trust you to bring structure, ask the clear question and speak up when things stall.
What you can expect here
You will be trusted with real room to manoeuvre and decide, supported by a close and trusting relationship with the SVP and the SVP’s Executive Assistant. You will grow your leadership skills by guiding a team of assistants without formal authority, and build new skills through project work, the R&D onboarding project for new assistants and the use of AI and digital tools in everyday work. You will help shape the Wellbeing committee across the SVP area, so colleagues can thrive as well as perform.
