Your new role
As Department Assistant in the Executive Office, Global Trial Portfolio, you will play a key role in ensuring smooth and efficient operations across the area. Working closely with fellow assistants, leaders and stakeholders, you will contribute to both day-to-day administration and cross-functional initiatives.
Your main responsibilities include:
- Providing high-quality administrative support to leaders and key stakeholders
- Planning and organising meetings, offsites and team-building activities
- Supporting annual wheel activities, onboarding and offboarding processes
- Managing departmental procurement, including catering and PO processes
- Preparing and publishing announcements and content on the GTP SharePoint site
- Supporting budgeting and resource management processes for the department
In addition, you will support ad hoc requests, contribute to cross-functional tasks such as seating arrangements, and actively engage in the GTP administrative network.
Your new department
You will join the Executive Office, a headquarters department within Research & Development, located in Søborg, Denmark. The Executive Office serves as a central hub within Global Trial Portfolio, providing comprehensive administrative support while also driving strategic initiatives aligned with organisational priorities.
The team consists of eight dedicated professionals working in a collaborative and fast-paced environment. Together, the team values knowledge sharing, continuous improvement and strong partnerships across GTP and the wider organisation.
Your skills and qualifications
We are looking for a candidate who combines strong administrative experience with a proactive and solution-oriented mindset. You bring:
- A relevant administrative qualification or equivalent experience, ideally with 3–5 years in similar roles
- Experience managing a broad range of administrative tasks across multiple stakeholders
- Strong verbal and written communication skills in both English and Danish
- Solid IT proficiency, particularly in SharePoint, with interest in optimising digital processes
- A flexible, collaborative and detail-oriented approach, thriving in changing priorities
Experience from a central function supporting several areas is considered an advantage. As a person, you are known for your can-do attitude, high accuracy and ability to build strong, trust-based relationships. You are a strong team player who builds trusting relationships and collaborates seamlessly with key stakeholders to navigate processes smoothly. You work with high accuracy, pay attention to detail, and adapt quickly to new tasks and shifting priorities.
