As Clinical Trial Administrator, you will keep clinical trials in Italy moving with accuracy and pace. Based in Rome, you will support the local study team from start-up to close-out – managing trial documentation, tracking progress, coordinating vendors and making sure investigator sites’ payments are on time.  Your work keeps trials compliant and inspection-ready, so new treatments can progress towards the people living with serious chronic diseases who need them.

 

What you’ll bring

You pay close attention to detail, stay organised under pressure and like finding a practical way forward when issues come up. To succeed in this role, you will bring:

  • A Master’s degree in Life Sciences (preferably Biotechnology, Pharmacy, Chemistry, Biology or CTF)
  • A solid understanding of clinical trial phases, regulatory guidelines, Good Clinical Practice (GCP) and ethical considerations.
  • Hands-on experience using Clinical Trial Management Systems (CTMS) and other digital tools to manage study documentation and track activities.
  • The ability to manage multiple tasks, timelines and stakeholders and to keep milestones on track.
  • Strong written and verbal communication skills, and the ability to build good working relationships with internal and external stakeholders.
  • Analytical and problem-solving skills to resolve study-related issues and suggest practical improvements.
  • Integrity, sound judgement and a strong eye for detail.
  • Openness to new digital tools and ways of working, and the flexibility to adapt in a fast-paced, changing trial environment.

Useful, but not essential:

  • Experience in the pharmaceutical industry or a Clinical Research Organisation (CRO).
  • Certification or formal training in Clinical Research and Good Clinical Practice (GCP).

 

What you’ll do

You will provide administrative and operational support across every phase of the trials run by the local study team – preparation, execution and close-out – making sure each study runs in line with regulatory requirements and the study protocol. As part of the Business Operations unit, you will also manage vendors and keep site payments running smoothly.

You will:

  • Support trial start-up by preparing and submitting the required documentation.
  • Set up and maintain the electronic Trial Master File (eTMF), including the Investigator Trial Master File (iTMF), so trial documentation is complete, accurate and compliant.
  • Track trial activities and coordinate study tasks to support high-quality delivery and ongoing inspection readiness.
  • Build and maintain relationships with internal and external stakeholders involved in vendor management.
  • Make clinical trial site payments on time, tracking and monitoring payments and resolving any issues quickly.
  • Work with colleagues across functions so that information moves smoothly and trial execution stays on schedule.

You will join the Clinical Development Centre (CDC), the dedicated hub for clinical operations in Italy, part of Research & Development. Here, a team of passionate professionals brings Novo's global pipeline to Italian patients, running trials with excellence, agility and a shared commitment to quality. Reporting to the Senior Business Operations Manager, you will collaborate closely with local study teams and colleagues across multiple functions, while also interacting with investigator sites and external vendors. Through effective management of trial documentation, tracking activities and investigator payments, you will help ensure studies run smoothly and compliantly, enabling teams to focus on delivering high-quality clinical research.

Salary

For this role, the Annual Base Salary ranges from 36,640.00 to 53,130.00 EUR, corresponding to the level of the position. The placement within the salary range will be assessed during the recruitment process based on the candidate’s skills, competencies, knowledge and relevant experience.
