The Position

As our Meetings & Events Specialist, you will plan, coordinate, and execute all meetings and events, including conferences, seminars, workshops, and corporate gatherings. You will coordinate with internal stakeholders (business units and departments) to determine event requirements and expectations, and you will stay updated on industry trends to suggest innovative event ideas and improvements in Meetings & Events category.

 

The main accountabilities will include:

  • Select and book venues, arrange catering, and coordinate all logistical requirements, registration for events directly with the venues or via our designated travel agency.
  • Develop and maintain relationship, negotiate, and manage vendor contracts, ensuring cost-effectiveness and quality service delivery.
  • Ensure sourcing, RF(x) process and savings registration are performed through corporate procurement system -Coupa, and ensure optimal allocation of resources and cost control.
  • Evaluate the success of each event and provide recommendations for improvements.
  • Utilize employee travel booking tool (Concur travel) to track travel trends, hotels, CO2e emissions, and prepare reports. Additionally, provide recommendations to optimize travel.

 

Qualifications

In order to be considered, we expect you to have:

 

  • Bachelor's degree in business administration, hospitality management, or a related field
  • Proven experience (minimum 3 years) in Meetings & Events planning, coordination, and execution, preferably in pharmaceutical or a corporate environment
  • Experience in vendor contract negotiations and management.
  • Experience in using corporate procurement systems such as Coupa.
  • Excellent organizational and project management skills
  • Strong communication and interpersonal skills
  • Ability to work independently and as part of a team.
  • Strong attention to details and ability to multitask.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Must have a service mindset and be-available, at the same time assertive and be able to challenge.
  • Strong command of written and spoken English.

 

About The Department

The Meetings & Events Specialist will be an integral part of the Procurement Department, reporting directly to the Procurement Manager. The role within the department is pivotal in ensuring the seamless orchestration of meetings and events that are aligned with the strategic objectives of Novo Nordisk. The department is dedicated to fostering partnerships with vendors, negotiating contracts, and ensuring cost-effectiveness while delivering high-quality event experiences.
