The position

As an Executive Assistant you will coordinate daily General Manager’s calendar, maintaining the appointment schedule and travel. You will also be providing support to our Leadership Team Directors for certain administrative tasks, including compiling presentations, ensuring progress on action points, supporting departmental communication, and other administrative tasks.

You will be assisting Novo Nordisk CZ Leadership Team with conducting efficient and effective Management meetings and following up on action points.

You will maintain customer confidence and protect the operations by keeping information confidential. You will identify and address the needs of the GM and perform administrative tasks to ensure our company’s workflow runs smoothly.

We need you to be proactive, meeting deadlines and communicating effectively. You will act as the point of contact between executives and employees/clients.

 

Your other responsibilities will be:

• Facilitating internal communication (e.g. distributing information and scheduling presentations). Ensuring the corporate level communication like quarterly news, ad-hoc communication, organizational news is successfully communicated across the organization. Supporting regular communication to employees from GM and the management team. Supporting the implementation of Internal Communication projects like Great Place to Work Campaigns, Special Days, Purpose Campaign. Etc.

• Organizing off-site for management events and support planning Cycle Meetings/ All Hand Meeting. Organizing Social gatherings like Kids Day in the Office, New Year Party, Happy Hours.

• Preparing/compiling presentations for the management team in PowerPoint, including alignment of layout and coordination of input from all members to secure timeliness of final slide package.

• Complying with Novo Nordisk principles, procedures and regulations, defending the company interests showcasing strong business ethics; defending the confidentiality of the company as well as the patients’ secrets, business plans, ideas and strategies along with the secrecy of the data at your control; against third parties.

 

Qualifications

We are looking for a candidate who possesses the following qualifications:

• Master’s degree.

• Proven work experience as a Personal Assistant, Executive Administrative Assistant or similar role for at least 5 years.

• Experience in exercising discretion and confidentiality with sensitive company information.

• Strong communication skills (via phone, email and in-person).

• Excellent organizational skills with an ability to think proactively and prioritize work.

• Fluent in both English and Czech.

• Familiarity with MS Office, online calendars and cloud systems.

• Experience using office equipment, including printers.

The leadership management team consist of 8 members and the affiliate size is 100+.
