The Strategy & Executive Office (SEO) organization is responsible for setting the short, mid, and long-term strategy for Novo Nordisk, Inc and ensures flawless execution of our key priorities. This encompasses long-term strategic planning, empowering and supporting leaders to successfully execute on strategic priorities, as well as driving and delivering high impact enterprise and business unit projects deemed critical to our future success. Furthermore, the Executive Office is responsible for supporting the President of NNI directly to ensure the pull through of priorities to set the direction for the entire organization.

 

 

The Position

Manages and oversees the daily activities of the Executive Office. Provides executive level confidential administrative and project support to the President of NNI requiring the exercise of discretion and judgment. The position functions autonomously; the individual works independently and exercises considerable discretion and judgment on a variety of complex and diversified projects and assignments. A wide degree of creativity and latitude is required and expected.

 

Relationships

Reports to the President of Novo Nordisk Inc. (NNI) Interacts with internal and external sources at the executive level requiring skill, tact, influence and/or negotiation. Interacts with all members/departments within NNI, NNA/S, Canada, and other affiliates on a regular basis. Works mainly with the President and senior leadership to ensure all of the President’s requests, projects, etc. are completed within a timely manner. Interacts with all levels within the organization on matters associated to the President. Develops and maintains very good rapport with personal assistants to Executive Management in Headquarters to coordinate business activities and achieve business goals.

 

Essential Functions

  • Executive Administrative Support
    • Identifies and implements opportunities to reduce Presidents administrative tasks. Anticipates needs based on current business initiatives
    • Performs other duties and projects as assigned
    • Responsible for maintaining the calendar of the President. Ensuring efficient travel arrangements are made. Ensures the President is sufficiently prepared for all meetings
    • Works closely with and assists President on various expat related & personal matters. Provides information as required. Handles all matters with the utmost discretion
  • Executive Meeting Management
    • Addresses and manages a schedule with a high level of prioritization, analyzes schedules, resolves conflicts and remediates issues, solves problems and prepares contingency plans and addresses schedule changes resulting from unforeseen events
    • Leads the Admin Council group. Ensures collaboration and alignment with the Executive Assistants that support ET members. The Admin Council group effectively partners with various lines of business i.e., facilities, security, travel, etc., to facilitate communication and change management across the organization. Leads monthly group meetings. Provides proactive ideas and solutions for agenda items, particularly those related to improving productivity, innovation, customer responsiveness, and optimization of our work/business environment, in addition to off-site meetings and common EA team goals
    • Performs as lead planner for all logistics related to execution of quarterly Business Review (BRM).  Meetings are scheduled from HQ and include participation from the highest level of NNA/S Executive Management. Responsible for ensuring international coordination and logistics planning for all other ad hoc high level HQ meetings hosted at the US home office or offsite including NNA/S BoD meetings, ExecMan meetings, OperMgmt meetings, ExecMan Town Hall meetings, etc.
    • Performs as strategic and tactical business partner to NNI Executive Team. Is responsible for drafting ET meeting agendas, taking and disseminating minutes and relevant information to internal stakeholders as necessary. Manages all aspects of ET off-site planning including scheduling, identification of location, sourcing venue, logistics, developing agenda, and planned activities
    • Responsible point person for coordination of ET calendars. Develops ET meeting and offsite calendar, schedules Vision meetings, annual ET budget review meetings, NNCI BRM meetings, product working group meetings and other ad hoc meeting requests on behalf of the President
  • Executive Office Budget Management
    • Manages Executive Office budget. Works closely with Finance department in tracking Executive Office expenditures and adjusting budget allocations as required. Ensures Presidents travel expenses are processed accurately and maintained current
  • Executive Office Management
    • Answers questions and requests from all lines of business. Addresses problems of various levels of complexity on a daily basis. Analyzes issues and rectifies situations. Handles confidential matters on a regular basis, while exercising discretion and judgment
    • Builds relationships to improve collaboration with stakeholders which include; industry leaders, government officials, HCPs, consultants and Professional Organizations. Liaises with Communications and Public Affairs department to coordinate appearances of NNI President and other NN leaders at public Corporate Philanthropic and other Good Will events
    • Ensures the efficient and professional management of the Executive office. Ensures that the appropriate standards of decorum are observed in the Executive Suite
    • Manages the activities of the administrative support functions within the Executive Office. Prioritizes critical items and identifies actions and activities that can be delegated elsewhere
    • Manages the Administrator of the Year award program through committee participation, review of submitted nominations, guiding deliberations and securing consensus for worthy nominee. Presents the award at the My Company Meeting
    • Partners closely with Executive Office to coordinate timeline, planning & execution of senior leadership 3P process

 

Physical Requirements

0-10% overnight travel required.

 

Qualifications

  • A Bachelor’s degree or equivalent experience required
  • Ability to function independently to complete complex tasks in creative and effective ways
  • Demonstrated customer service skills and the ability to communicate with all levels within the organization are required
  • Extensive experience handling domestic/international travel arrangements required
  • Intermediate to advanced-level Word, Power Point, and excel skills desired
  • Requires a minimum of 8 years advanced executive secretarial/administrative experience
  • Requires a strong understanding of Company goals and the strategy to attain them
  • Solid business writing and budgeting skills
  • Strong organizational skills with attention to detail
  • The ability to work flexible hours when needed

 

 

The base compensation range for this position is $38.95 to $70.11. Base compensation is determined based on a number of factors. This position is also eligible for a company bonus based on individual and company performance. 

 

Novo Nordisk offers long-term incentive compensation and or company vehicles depending on the position's level or other company factors.
