As Leadership Team Assistant, you will keep the leadership team organised, aligned and moving at pace. You will coordinate across senior stakeholders, manage complex schedules and ensure that meetings, decisions and follow-ups happen with clarity and on time. What you'll bring
- Relevant experience in an administrative or executive assistant role, supporting senior leaders or leadership teams.
- Strong stakeholder management skills, including the ability to build trusting, lasting relationships with senior executives.
- Strong organisational skills with the ability to manage competing priorities and work with a high degree of accuracy.
- Confidence coordinating across multiple calendars, time zones and stakeholders.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office suite, especially Outlook and PowerPoint, and AI tools.
- A proactive approach — you anticipate needs, act with discretion and follow through.
- Ideally experience working in a large, international organisation or within a corporate function such as pharmaceutical, finance, legal or global services.
- An Australian citizen or permanent resident.
What you'll do
You will be based in our North Sydney office (minimum 4 days per week), where you will be the organisational anchor for the General Manager and their Leadership Team.
- Manage and coordinate leadership team calendars, meetings and travel arrangements, ensuring time is used effectively.
- Prepare meeting agendas, materials and follow-up actions, helping the team stay on track and move decisions forward.
- Handle correspondence, documentation and ad-hoc requests on behalf of the leadership team with accuracy and discretion.
- Coordinate cross-functional activities, events and leadership off-sites, taking ownership of logistics from planning through to execution.
Who you'll work with
You will work closely with the General Manager but also be part of the General Manager’s Office – a team of five – giving you a ‘home’ in the organisation. From there, your day-to-day partners will span senior leaders, their teams and colleagues across corporate functions. You will also collaborate with other assistants and administrative professionals across the organisation. The role gives you visibility across the business and the opportunity to connect people and priorities in a way that keeps work moving.
