The Position

We are seeking an experienced Contract Administrator to add to the Intellectual Property Patent Team in Boston. This person will report to the Patent Operations Manager and work closely in conjunction with the IP and Project Management teams to ensure the most efficient and accurate patent operations. The ability to communicate effectively, take ownership of projects, and maintain adaptability in a rapidly changing environment would be beneficial to this role.



This role will report to Patent Operations Manager.


Essential Functions

  • Collaborate with the USPTO, attorneys, liaisons, foreign associates, and colleagues
  • Extract relevant IP information from official USPTO databases and correspondence
  • Generate docket reports, performing IP docketing, and tracking deadlines
  • Enter new U.S. Provisional, Continuation, Utility, Design, CIP, Opposition, Divisional, and re-examination files into databases
  • Assist attorneys and scientific advisors with patent filings by resolving discrepancies, errors, and omissions
  • Maintain IP records and reviewing files
  • Perform IP research on public and private databases
  • Process incoming and outgoing correspondence
  • Ability to work closely with R&D team to obtain information, including signatures on Declarations, Assignments, and other necessary filing documentation
  • Assist with financial operational tasks (vendors, invoices, payments)
  • Special projects as assigned, including driving continuous improvements projects
  • Ability to handle complex assignments using considerable judgment and initiative
  • Ability to drive projects and commitments with speed and efficiency


Physical Requirements

0-10% overnight travel required. Ability to lift 0-10 lbs.



  • Bachelor’s degree or a degree in paralegal studies, or equivalent experience
  • 5+ years of experience preparing and filing documents at the USPTO via e-filing including basic patent office transmittals, responses to missing parts, information disclosure statements, and responses to office actions; trademark exposure and/or experience working in a law firm is a plus
  • Excellent knowledge of USPTO and PCT rules and filing procedures
  • Exposure to and Familiarity with Special Administrative Procedures - EP Oppositions, U.S. Post Grant Proceedings (Re-exams, IPRs) - First Instance and Appeals
  • Experience with legal technologies, including CPI, highly desirable
  • Experience with iManage, and Egnyte a plus
  • Trademark and domain name knowledge helpful
  • Ability to handle multiple shifting priorities simultaneously
  • Willingness to learn new skills and assume responsibility of additional tasks, as and when necessary
  • Ability to work independently and take the initiative to accomplish objectives in a timely manner
  • Demonstrated team player with willingness to collaborate and perform tasks outside of immediate job description as needs can rapidly change and develop
