Project Coordinator
Kalundborg, Region Zealand, DK
Your impact begins here
As Project Coordinator, you will help keep the PPV & PPVI project organisation in Kalundborg moving forward every day. This is not a traditional desk-based assistant role. You will combine project coordination and administrative skills with a practical, hands-on approach, working closely with colleagues across the project organisation. Some days will involve planning, coordination and stakeholder alignment; on others, you will put on your safety shoes and PPE to follow up on activities, coordinate practical matters and help solve challenges as they arise.
What you’ll bring
You enjoy creating structure in complexity, keeping track of details and taking ownership when priorities shift. You are comfortable coordinating across many stakeholders, while also being ready to step into the project environment and take practical action when needed.
You will also bring:
- An office administration education or another relevant education or experience.
- Strong project coordination and organisational skills, with the ability to manage stakeholders, parallel activities and changing priorities.
- A high level of integrity and professionalism when handling confidential and sensitive matters.
- Clear, confident communication and the ability to build good working relationships across functions and organisational levels.
- A proactive, hands-on and service-minded approach – you take ownership, follow through and step outside a traditional support role when needed.
- Good written and spoken Danish & English.
Useful, but not essential:
- Experience with MS Office and working in a GMP environment.
- Experience supporting senior leaders or a management team in a large project or corporate setting.
What you’ll do
You will be a trusted project coordination partner to project leadership, working independently while staying closely connected to the daily project environment.
Your work will include:
- Providing operational, coordination and confidential support to the Management Team, Project Vice President, Project Directors and work packages.
- Planning and coordinating project meetings, workshops and events, ensuring timely communication with stakeholders and following up on actions.
- Being present in the project environment several times a week, wearing safety shoes and PPE when needed, to coordinate activities and follow up on practical matters.
- Managing consultant administration, including onboarding, offboarding and related coordination, and supporting the introduction and training of new colleagues.
- Overseeing seating and workspace administration across project locations, including move-ins, workplace readiness and seating plans.
- Handling purchasing, invoices and expenses within your approval rights in systems such as Coupa and Concur, and approving IT access requests.
- Keeping your area inspection-ready, supporting audits and inspections, and driving continuous improvement of processes with a Safety First mindset.
Who you’ll work with
You will join the PPV & PPVI project organisation in Kalundborg, working closely with the Management Team, the Project Vice President, Project Directors and the project’s work packages.
Beyond the project, you will interact with departments and VP/SVP areas across Novo Nordisk and NNE, as well as consultants, vendors and suppliers. Many people depend on your coordination, so clear communication and overview are key.
What you can expect here
You will work close to leadership in a hands-on project environment where priorities shift, many activities run in parallel and your initiative counts. You will have ownership of your area and be encouraged to challenge current practices, suggest improvements and help the team follow through.
You will be supported to grow through relevant training and your own Individual Development Plan, building experience across project coordination, stakeholder management and practical project execution.
