Personal Assistant to General Manager

Your new role
As Personal Assistant to the General Manager for the UK, you'll provide high-level executive support that enables seamless leadership. From managing a complex diary across time zones to coordinating international travel and ensuring the GM is fully prepared for every meeting and event, you'll be at the heart of the UK leadership team.
Day-to-day your responsibilities will include:
- Providing executive administrative support to the GM, including diary management, coordinating internal and external appointments, and booking conference/video calls across multiple time zones
- Booking and planning travel arrangements and logistics for business trips, including organising visas, flights, accommodation, transfers and preparing detailed itineraries
- Serving as the first point of contact for external inquiries, managing communication and progressing queries on behalf of the GM
- Organising internal and external meetings, including scheduling, coordinating logistics, catering, preparing agendas, circulating papers, tracking action points, and taking minutes
- Overseeing administrative functions, such as managing office supplies, coordinating courier services, and maintaining departmental documentation
- Handling financial administration, including expenses, invoices, purchase orders, and assisting with budget tracking and expense management
- Drafting and producing letters, reports, memos, presentations, and other documents with accuracy and professionalism
- Ensuring the CVP and Leadership team are reminded of key deadlines, priorities, and meetings

Working directly with the General Manager for the UK, you'll play a vital role in supporting the strategic priorities and day-to-day operations of our UK business. You'll partner with other Executive Coordinators and the SVP Coordinator to ensure smooth communication flow, while maintaining the highest standards of confidentiality and professionalism as part of the UK leadership team.
Your skills & qualifications
We're looking for an experienced Personal Assistant who thrives in a fast-paced environment and brings a proactive, can-do attitude. You'll have:
- Previous PA experience at a senior level, gained in a fast-paced setting
- Excellent organisational, administrative and diary management skills with the ability to manage a busy workload and juggle multiple priorities, using initiative and sound judgment
- Expertise in coordinating logistics for meetings, events, and executive travel arrangements
- Effective task prioritisation and excellent communication and stakeholder management skills
- High level of discretion and confidentiality when handling sensitive and confidential information
- A team player mindset with a strong ability to work on your own initiative – reliable, accurate with high attention to detail
- Positive, can-do attitude and willingness to take ownership of work
- Excellent knowledge of Microsoft Office suite, particularly Outlook, Word, Excel, and PowerPoint
- Education to at least GCSE level (a formal secretarial qualification is preferred)
