About the department

 

Global Business Services (GBS) General management is the central unifying department in GBS responsible for enabling the  business of various GBS functional units. It is a critical unit involved in devising strategy for GBS  and helping set the direction for various GBS units based on inspiration from the global shared service industry.

 

The Position

 

As a Department Coordinator for GBS General Management, you will be responsible to fulfil the following duties:

  • Co-ordinate, schedule and manage logistics and operations for key department meetings  including performance board management and similar activities for key organizational events  like team off-sites, In-house summits, cultural activities, and leadership visits.
  • Follow-up and ensure closure of action points from the department meetings and key events. Also, prepare & consolidate agenda and presentations for the department meeting and key activities.
  • Perform administrative tasks and department support activities. Wherein, you will act as a SPOC for all administration related queries across GBS General Management.  Example: Access Cards, Provide invite letters for travel etc.
  • Co-ordinate procurement and allocation of assets for department and handle procurement of supplies for the department (IT Hardware, Office supplies, etc.). Create POs, Follow-up on invoice submission and payments. Handle the administration aspects of on-boarding new joiners in the department.
  • Manage logistics for team events like (Birthday’s, stakeholder visit, cards, print signage etc.) and timely completion of assigned activities and report progress to management. Unit asset management and managing team accruals will also be a part of this job role.


Qualifications

 

  • You hold any bachelor’s degree
  • You should have 3 - 5 years of relevant experience
  • You should be Self-driven and dedicated/desire to influence
  • You should have good interpersonal skills, good at planning & organizing and should be service oriented.
  • Microsoft office expertise.
  • Ability to collaborate & communicate across various stakeholders
  • Ability to represent NN in relation with users and external stakeholders
  • Excellent communication skills (written & oral – English)
  • Large degree of flexibility and the ability to work with multiple stakeholders
