In NC, we operate three pharmaceutical manufacturing facilities that are responsible for fulfilling different steps in our injectable and oral treatment supply chains. Our Product Supply Aseptic Manufacturing (PS AM) facility in Clayton, NC is a 457,000 square foot aseptic "fill and finish" site that is responsible for producing innovative, injectable diabetes and obesity treatments. The Position

Performs administrative, clerical & process support. Assists the Director &/or department leadership team in document controlling, scheduling, meeting logistics, social activities, travel coordination, presentation development, onboarding & KPI tracking. This position will work alongside the FP Director & require a high level of confidentiality.

Director, Finished Production.

 

Essential Functions

  • Own/lead projects as assigned under direction of FP Director. See project through from origination to completion within the defined scope, cost & time constraints
  • Own calendar, manage schedule, anticipate needs & effectively manage director’s time, while meeting the needs of the customer
  • Maintain & create reports/department metrics using Excel & PowerPoint, SharePoint, teams
  • Responsible for process to update FP targets & presentation of status to FP management
  • Ability to plan, design & execute both moderate to large scale meetings/off-site events, as well as virtual meetings & events
  • Create, design &/or edit presentations for meetings & events
  • Plan all internal meetings & events for the department; manage the agenda, logistics, presentations, coordinate output & actions, catering & off-site dinners
  • Prepare & submit expense reports on behalf of management in compliance with NNPILP policies
  • Manage & coordinate complex travel arrangements & itineraries while ensuring flights, accommodations, ground &/or rental transportation are reserved
  • Support the FP team with tasks & social activities as needed
  • Order & maintain supplies needed to support the IFP FP department
  • Set up & maintain 5S standards for documentation, admin & storage areas
  • Support FP projects through data collection & analysis & translate into visual dashboards
  • Support social media campaigns related to FP Yammer Page and other department related social media outlets
  • Suggests & implements process improvement & standardization updates
  • Exercise excellent communication skills to represent the department
  • Perform a wide range of administrative duties highly confidential in nature
  • Partner & collaborate closely with local colleagues
  • Follow all safety & environmental requirements in the performance of duties

  • Other accountabilities, as assigned

 

Physical Requirements

Ability to work in an open office environment with the possibility of frequent distraction. Ability to travel up to 10% of the time. (% can change on a case-by-case basis based on the role.)

 

Qualifications

  • Bachelor's Degree in a related field or an equivalent combination of education & experience required
  • Minimum of four (4) years of experience in an administrative field, preferably in a pharmaceutical environment preferred
  • Ability to problem solve & navigate complex assignments preferred
  • Strong knowledge & experience using Microsoft Office applications including: Word, Excel, PowerPoint & Outlook required
  • Pharmaceutical experience a plus
  • Organization/Planning: Demonstrates excellent organizational & planning skills with a high level of attention to detail preferred
