About the Department
This position will be assigned to the DBU which is
responsible for sales, marketing, and medical activities related to diabetes products in Japan. Novo Nordisk is a world leader in diabetes care and has been providing innovative solutions for people with diabetes for over 100 years.
The DBU's primary focus is to provide innovative, high-quality diabetes care products to patients in Japan. The unit works to develop and market new products, including insulin and oral antidiabetic drugs, as well as medical devices such as insulin pens and injectors. The DBU is also involved in clinical trials and research projects to advance diabetes treatment and improve patient outcomes.
The DBU has been a cornerstone of Novo Nordisk's business for a long time and is a department that continues to evolve to reflect the current market. The team is made up of members with diverse backgrounds, including those who have been with the company for a long time, those who have recently joined, and those who come from other countries. In this position, you will have the opportunity to work directly with the leadership team in-charge of driving DBU's evolution and organizational change. The position 
As a Personal Assistant at Novo Nordisk, your primary responsibilities include providing administrative and office support to executives of the DBU and members of the marketing team in various capacities. This support is crucial in enabling them to concentrate on achieving their business objectives. Additionally, you will be in-charge of organizing meetings and events for Novo Nordisk Japan and the Diabetes BU. Other expectations of the role are as listed, but is not limited to:

  • Providing office and administrative support to the Corporate Vice President (CVP) Diabetes BU, including managing the CVP's schedule, organizing meetings and events, submitting expense reports, managing internal announcements, advising stakeholders, Vice Presidents (VPs), directors, and marketing members. The role will also bein-charge of personnel change information, budget coordination, training coordination, project management, and office record management.

  • Closely liaise with internal and external stakeholders, including global counterparts, in organizing meetings for overseas business trips.

  • When above is conducted within in business hours and there is more room for projects, the role is expected to engage in DBU projects (Sustainability projects, Mid-term Execution projects etc,) which needs additional support.

  • As a key competency, you should demonstrate the ability to think and act independently in executing office tasks. This involves understanding the needs of the CVP, prioritizing meetings and projects, and handling preferences for meetings and business trip bookings. Expectations include conducting office work with minimal errors and minimizing the need for confirmatory inquiries, as they can prolong the completion of tasks. As a competency, it's essential to effectively liaise not only with the CVP but also with DBU management, cross-functional key stakeholders, Executive Management Team (EMT), EMT assistants, International Operations (IO), and Headquarters (HQ) key personnel. This includes both verbal and written communication.

Qualifications

  • Experience with Microsoft Suite applications such as Outlook, Teams, and PowerPoint is required.
  • Proficiency in effectively advising and managing tasks with senior leaders as stakeholders is essential.
  • Proficiency in fluent-level Japanese of reading, writing, and speaking is mandatory.
  • Proficiency in business-level English of reading and writing skills is mandatory. Proficiency in speaking skills is preferred.
