The Position
This position is responsible for the successful ongoing support of projects for the Bio Innovation Hub and performs administrative tasks to support project progress and execution. Arranges on and off-site meetings, has responsibility for meeting logistics, budget tracking, presentation development and visual project overview in relation to the projects and partnerships anchored in the Bio Innovation Hub. This position will work alongside the Senior Project Director and a streamlined project infrastructure is sustained to continuously safeguard the operational activities relating to project administration (sometimes confidential in nature) for senior team members.
Relationships
This position reports directly to the senior leadership within the Bio Innovation Hub.
Internal relationships include working with research employees, project managers and line managers. External relationships include company representatives from the Bio Innovation Hub partners and collaborations. This position may work closely with GSC India Accounts Payable and Finance and others within the Novo Nordisk matrix to maintain strong intracompany relations and leverage existing processes and competencies to ensure continued efficient and effective project operations within the business unit.
Essential Functions
- Provides administrative support of projects and collaborations
- Create and maintain reports and department/project metrics and help translate into visual tools
- Serve as point person for accounts payable and vendor set up process, responsible for timely approval and accurate coding of all invoices submitted for Bio Innovation Hub projects
- Responsible for reviewing and ensuring project expenses are properly prepared and submitted, and that expense guidelines and policies are adhered to
- May interact with internal and external sources at senior levels requiring skill, tact, influence and/or negotiation; may interact with global HQ and affiliates on matters of importance
- Serves as face of the TRU to outside vendors, research collaborators, and service providers.
- May have responsibility for receiving of shipments/orders and shipping other research sites
- Responsible for evaluating vendors supporting projects to determine opportunities for cost savings
- Provide assistance with purchase orders; investigate and resolve order or return issues, expediting and other activities as needed
- Designs, plans and executes on- and off-site project-related meetings and events: manage agendas, logistics, presentations, coordinate output and actions, and catering
- Perform duties that are both task-oriented and project-oriented
- Handle correspondence and requests for information
- Collaborate closely with other coordinators, administrators, project and business leaders, and global colleagues
- Monitors and tracks spending to ensure it remains within budget
- Complete other responsibilities and tasks as required
Physical Requirements
0-10% overnight domestic and/or international travel may be required.
Qualifications
- Bachelor’s degree in a related field and two years of experience or high school diploma and at least 4 years of experience in an administrative position; prior experience working in the pharmaceutical industry required
- Microsoft Office skills (Word, Excel, PowerPoint, Outlook); experience with visual update tools (e.g., MIRO, JIRA) and accounting/bookkeeping/finance systems preferred
- Understanding of core financial controls related to requisition to payment activities
- Experience working within a large ERP system environment (SAP) modules and reporting a plus
- Strong problem-solving skills and agile – ability to flex quickly when business needs change
- Excellent written and verbal communication and collaboration skills; ability to build positive working relationships among stakeholders

- Demonstrate excellent organization and planning skills with a high level of attention to detail
