The position

As a coordinator, you will ensure the efficient and smooth day-to-day operations across various departments. Key responsibilities will include organizing and developing congresses and symposia, coordinating internal meetings, and managing various administrative tasks such as budget tracking, supplier management, and general operational support. In more details, you will:

  • Be responsible in an autonomous and proactive way for the organization of congresses & meetings (both international and local). It involves to deal with invoicing and liaise with travel agencies.
  • Be responsible for purchase orders and invoicing. It involves to ensure correct payment of invoices, handle invoice tracking with suppliers, to be responsible for follow-up & updating the budget. It also involves contract management and supplier selection responsibilities.
  • Manage hospitality tasks (e.g : welcoming guests, receiving deliveries…).

 

About our Department

You will report to our manager who manages a team of 4 Business Support Coordinators. Our team supports the different Departments of our BeLux Affiliate, which is on a healthy growth path with exciting opportunities in different departments. You will have interactions with our internal Departments (Sales, Marketing, Medical, HR, Finance…),  and external stakeholders (suppliers, agencies, Novo Nordisk customers & visitors).

 

Qualifications

  • A solid similar experience (minimum 3 years of experience). To have experience in the Pharmaceutical industry is a plus.
  • You feel comfortable to use MS Office.
  • You are fluent in English, French and Dutch (oral and written).
  • You are engaged, proactive, enjoy and are able to work in team. You have good communication skills.
