The position
As an HR Professional II, you will be Providing support by processing invoices, managing team budgets, aiding finance partners and oversee vendor management, including onboarding & maintaining regular contact for payments and contracts. Also, manage calendar activities for the RareD Senior Leadership Team and handle contract management, including creation, uploading and securing necessary signatures and approvals.
- Manage Coupa PA/POs, including creation, amendments, and resolving integration errors. Execute SAP tasks, including generating reports and analyzing discrepancies.
- Support travel and expense management for CVP/VP and direct team members. Maintain distribution lists and manage the team’s SharePoint page.
- Prepare cross-charge files and initiate cross-charges, create intercompany invoices, and repost costs related to other departments.
- Manage team offsites, events, and congresses, including overseeing catering and agendas.
- Track prepayment status and coordinate with the Finance team to release prepayments.
Qualifications
- A bachelor’s degree in finance/business administration or a similar field.
- Minimum 5 years of experience, with at least 3 years in an executive assistant or administrative role.
- Proficiency in MS Office applications (PowerPoint, Excel, Word, Teams, SharePoint).
- Strong written and oral communication skills.
- Excellent interpersonal skills and the ability to develop strong working relationships. Ability to manage multiple stakeholders across different geographies.
- Experience in financial reporting and contract management.
- Ability to collaborate and communicate effectively with different stakeholders.
- Strategic thinking and the ability to generate insights from data.
- A service-minded personality with the ability to prioritize and multitask.
