Support the protection of Novo Nordisk's innovations by ensuring patent records, correspondence and formalities are handled accurately and on time. In this role, you will work with patent coordinators, patent attorneys and global stakeholders to maintain patent data, coordinate case related documentation and support patent prosecution activities across selected jurisdictions.

Your role will be pivotal in maintaining the integrity of our patent portfolio while building the capabilities of our coordinator team.
The Position
As an Associate Patent Coordinator at CIP-GBS, you will provide patent support services to the global patent organization under defined processes and guidance. You will handle day-to-day patent administrative tasks, maintain accurate records in a patent manage-ment system and coordinate formalities and correspondence with internal teams and external partners.
Your day-to-day responsibilities will include:
- Supporting patent filing and prosecution formalities by preparing, reviewing and maintaining case-related documents, deadlines and records.
- Managing incoming and outgoing case-related correspondence, ensuring timely updates, filing and escalation where needed.
- Updating bibliographic data, deadlines, document records and case status in a patent management system with a high level of accuracy.
- Assisting with Indian patent filing and prosecution formalities, including document preparation, formality checks and coordination of communications with the Indian Patent Office under guidance.
- Supporting selected foreign patent formalities and agent communications, with basic exposure to EPO, PCT and USPTO workflows where required.
- Coordinating with patent attorneys, patent coordinators and external counsel to obtain missing information, signatures, documents and filing instructions.
- Monitoring assigned due dates and following SOPs/checklists to ensure timely completion of routine patent administration tasks.
- Performing quality checks on patent data, correspondence and archived documents to maintain complete and reliable records.
- Contributing to process documentation, knowledge sharing and small improvement initiatives within the team.
Skills & Qualifications
We're seeking an Associate Patent Coordinator who is detail-oriented, organized and comfortable working with structured processes.
To be successful in this role, you'll need:
- 1-2 years of experience in patent administration, preferably in a law firm, multinational company or IP services environment.
- Hands-on experience using any IP management system for data entry, docket deadlines, document management and correspondence tracking.
- A bachelor's degree in any discipline with a good academic record.
- Basic understanding of the patent lifecycle, including Indian patent filing and prosecution formalities, deadlines, priority documents, assignments, and annuity/renewal support; awareness of EPO, PCT, and USPTO procedures is preferred but not mandatory.
- Strong attention to detail and the ability to accurately extract, review and enter in-formation from patent and non-patent documents.
- Good written and spoken English, with the ability to communicate clearly with internal and external stakeholders.
- Ability to follow SOPs, checklists and timelines while managing multiple tasks with appropriate escalation.
- Working knowledge of MS Office, especially Outlook, Word and Excel.
- A learning mindset, process orientation and willingness to build broader patent formalities knowledge over time.
