Lead the end-to-end planning and execution of global events, coordinating stakeholders, vendors, venues, and production partners to ensure seamless delivery, operational excellence, and exceptional attendee experiences.

 

The position

As an Associate Global Project Lead, Congress Event Management, you will be responsible for the end-to-end planning, coordination, and execution of congress event operations and Congress Studio activities. You will ensure high-quality delivery before, during, and after each congress while driving operational excellence, budget management, stakeholder alignment, and continuous improvement across global events

 

Your key responsibilities will include:

  • Leading end-to-end planning and execution of global congress event management activities.
  • Managing congress logistics including accommodation, registration, meeting facilities, transportation, catering, and shipments.
  • Coordinating booth staff recruitment, onboarding, scheduling, communication, and onsite support.
  • Driving Congress Studio planning, scheduling, production coordination, and execution.
  • Developing and managing project plans, budgets, timelines, risks, and deliverables to ensure successful event execution.
  • Managing agencies, production partners, and vendors to deliver high-quality congress experiences.
  • Collaborating with Medical Affairs, Commercial, Communications, Procurement, Compliance, affiliates, and other key stakeholders.
  • Driving process standardization, innovation, and continuous improvement across congress operations and studio activities.

 

 

The department

Congress Excellence - Global Medical Affairs, Product & Portfolio Strategy, headquartered in Denmark, is part of Global Business Services (GBS) in Bangalore, India. The team comprises highly motivated project managers responsible for both onsite and digital congress planning and execution, alongside a dedicated graphic designer and copywriter. In close collaboration with the Global Medical Affairs teams in Denmark, we deliver clear, evidence-based scientific and medical communications about our products to the external scientific community. Our mission is to design and co-create exemplary engagement across all congress activities that support lead generation and increase visibility of Novo Nordisk congress initiatives. We operate in a dynamic, fast-paced environment with a strong emphasis on collaboration and teamwork.

 

Qualifications

To be successful in this role, we expect you to have:

  • A Bachelor's or Master's degree in Event Management, Marketing, Business Administration, Communications, Hospitality Management, or a related discipline.
  • 6-8 years of experience in congress event management, conference operations, project management, or a related field.
  • Experience managing complex international congresses and onsite operations.
  • Strong expertise in congress logistics, stakeholder management, vendor coordination, and project delivery.
  • Experience working with agencies, production partners, and external vendors.
  • Strong planning, communication, organizational, and problem-solving skills.
  • Ability to manage multiple priorities in a dynamic, fast-paced environment.
  • Experience within a global matrix organization and exposure to the pharmaceutical or healthcare industry is an advantage.
