The position holder is responsible for the system management activities of IT systems/applications for portfolio management. It includes operation, maintenance, release, change, patch management, Incident and problem management for supported systems according to ITIL framework.
Ensure compliance with regulatory and organizational standards and NN QMS.
Change & Release Management: participate in new releases, design review, risk assessment and perform qualification activities of the changes in scope. Handling Change requests to comply with the Change Management work instruction.
Close collaboration with external vendor and ensuring that vendor deliverables are in quality and timelines are adhered, participate in Annual Periodic reviews (user review report, configuration review report, IT periodic system evaluation), communicate and involve relevant stakeholders, alignment with LoB stakeholders, System Owners, Product Managers, IT QA as needed.
Key responsibilities:
System Management:
Overall responsible for operation and maintenance of assigned systems
- Manage system deliverables within agreed scope, schedule ensuring quality.
- Define, update & manage system maintenance and operations.
- Ensure adherence to Novo Nordisk Quality Management System.
- Optimize system spend by ensuring that goals are met timely with appropriate quality and minimum usage of resources.
- Represent system in connection with audits and inspections.
- Ensure that the relevant NN stakeholders are kept informed about the status of the system.
- Ensure that responsibilities and authorities for interfaces and transfer of data between systems are mutually agreed and documented.
- Active role in technical / business go-lives.
- Prioritize business & technical scalability of the solution.
Stakeholder Management
- Engage with business units to understand their processes and requirements.
- Prepare, provide, and develop the services as agreed.
- Manage the expectation of LoB, end users concerning the use of systems.
- Ensure system management is in alignment with relevant QA and LoB requirements.
Vendor Management
- Interacts with vendors and resolves operational issues.
- Negotiation of agreements such as Work Orders and SLA Addendums with external vendors.
- Management of highly complex contracts and operational vendor set-up.
- Ensure vendor performance according to KPIs and contracts.
Supplier Assessment and Vendor Audits
- Key input provider for supplier agreements / supplier selection
- Drive vendor audit based on supplier assessment and own findings, work towards the closure of findings.
- Ensure that the quality practices of the vendor comply to NN Quality standards.
Other areas of responsibility:
System Manager for other R&D IT Systems:
Ensure ability to stand in as system manager for other systems in RTD GBS.
Quality Assurance:
Employees are expected to act independently to ensure all aspects of meeting quality levels in user satisfaction, system owner interactions/stakeholder management and other relevant requirements.
Authority:
Employees have authority to address and negotiate (within assigned budget) with both vendors and system owners independently to ensure that targets are met.
Vendors and community:
System managers are expected to seek influence on the main vendors’ future release plans with regards to functionality and technical design.
Education & Experience
- Bachelor or Masters in relevant field with 8+ years of IT/pharmaceutical experience, with a minimum of 4 years of system management experience, experience in managing GxP systems.
- In-depth knowledge of ITIL, Incident, Problem and Change Management processes.
- Strong understanding and experience in working in regulated environments as well as computer system validation & regulatory compliance
- Knowledge in Infrastructure management (patch implémentation, CI documentation)
- Experience in international matrix organization/ project coordination, work with external vendors and stakeholders in multiple geographies and time zones.
- Experience from working in/with a service based organization and managing service level agreements with customers and vendors.
- Good Analytical and Risk Assessment skills
- Experience in vendor management & handling budget responsibilities.
