Administrative Coordinator in Life Sciences

The Position

You will act as Administrative Coordinator to the Novo Nordisk Directors and Scientists undertaking target discovery at the research centre in Oxford. This is a key role for efficient administration of processes within the scientific site and requires a positive and collaborative attitude together with excellent professionalism and outstanding organisational capabilities, flexibility, and attention to detail.

 

Your key responsibilities will be:

  • Assist the Managers with administrative team tasks such as onboarding new team members, approving purchase orders, documenting leave, filling expense reports, and booking travel.
  • Supporting team communications via Viva Engage, developing and maintaining local SharePoint sites.
  • Organizing, tracking, and helping draft scientific communications to increase visibility, collate presentations and materials for site visits and showcases.
  • Supporting the Team in administrative tasks in relation to area-wide meetings including any off-site and scientific events e.g., learn more sessions.
  • Assist the team with administrative and organizational processes by arranging meetings, taking notes, minutes and supporting follow-up on action items and handling of all administrative internal systems.
  • Working with local finance partner and TDE management to plan budget, and track spend against agreed budget.
  • Manage purchase of supplies, schedule services and support the procurement processes.

You will be supporting the team with record keeping and transfer of documentations such as training records, RAs and SOPs to digital system to ensure compliance with Novo Nordisk’s way of working.

Building and maintaining excellent working relations with internal and external stakeholders at all levels will be big part of this role, together with supporting social and team building activities for the site, and events in relation to national days e.g., World Diabetes Day.  Furthermore, you will be part of a team of assistants servicing the SVP area based in Oxford and hereby you might be engaged in cross-organizational tasks.

 

Qualifications

We would expect you to be very supportive by nature and service minded. Strong communication skills are crucial to succeed as Administrative Coordinator. Professionalism, agility and resilience, attention to detail, a ‘can-do’, supportive, and collaborative attitude together with good follow through on tasks are essential. Support with scientific communication would be beneficial.

 

The core requirements for this role are:

 

  • Relevant administrative education (bachelor level) or equivalent experience
  • Fluent English (written and verbal)
  • Experience in MS Office products (Word, Outlook, PowerPoint and Excel) and other related programs.
  • Experience of procurement system (e.g., Coupa)
  • Established experience in a similar position as Team Assistant, with solid experience in administration/coordination.
  • Ability to navigate complex organisations, preferably with experience in pharma or academia.
  • Familiarity with a scientific discipline considered a plus.

 

We would expect you to have deep understanding of the business and the scientific environment. Prior track record of working effectively to deadlines and with templates and ability to proactively coordinate, plan and follow up on tasks with high quality, initiative, and self-motivation are in the highest demand.
